No Show/ Cancellation Policies for River Road Animal Hospital
New Client Deposit Policy:
A deposit for the exam is required to set up an appointment. This deposit is non-refundable if the practice is not notified of cancelation/rescheduling with 24 business hours in advance. If the client needs to reschedule or cancel the day of because of an extenuating circumstance, it is at the discretion of the Hospital Manager and/or the Medical Director if the deposit is refundable.
Surgical Deposit:
A 50% deposit of the estimate provided is needed to schedule the procedure. For dental procedures, 50% deposit of the lower end of the estimate. This is non-refundable if the patient is a no-show and cancellations must be done with at least 24 hours’ business notice for it to be refundable. If the procedure is rescheduled for the first time even with less than 24 hours, the deposit can go towards the rescheduled date. If rescheduling happens again or if a no-show or cancellation occurs with less than 24 business hours, the deposit will be forfeited, and an additional 50% deposit will be required to schedule the procedure again.
No-Show Policy:
The first time an appointment is missed, an initial warning letter will be sent. The 2nd time it happens, a $50 fee will be applied to the account. 3rd time it happens, another $50 fee will be applied, and a deposit will be required for all future appointments. 4th time it happens, another $50 fee will be applied, the deposit is forfeited and at the discretion of the Hospital Manager and/or the Medical Director, a letter will be sent releasing said client from the practice. This fee is subject to interest.
